iTrain was proud to be appointed the programme training partner to deliver an extensive service for a prominent Middle Eastern retailer. Partnering with the client’s system integrator Tata Consulting Service. As well as delivering the initial business case and blue printing undertaken by Deloitte Consulting. The retailer, a flagship regional business, headquartered in Dubai was migrating from Microsoft Dynamics to SAP S/4 HANA. Namely to streamline and standardise activities across all business areas. The overall programme is being implemented across various subsidiary legal entities and rolled out over a period of 36 months.

Enabling Change

iTrain identified the key areas where end-users required comprehensive training, focusing on aligning current practices with optimized S/4 processes.

We collaborated closely with stakeholders across various business areas. These areas Include Finance and Operations, to refine and enhance business processes. This collaboration ensured that the training was relevant and directly tied to real-world applications in the retailer’s environment.

A suite of training-oriented documentation was developed to especially support the educational objectives. This included detailed mappings such as process-to-role, process-to-Fiori app, and process-to-course. Additionally, role-to-course and user-to-course mappings were created to ensure each role was adequately covered by the training materials.

Course Design

Comprehensive course design plans were developed for each training module. Notably outlining the content, objectives, client led day to day scenarios and data across all key business processes. These overviews served as a roadmap for learners. Guiding them through the training process with clear expectations and goals. Each employee role within the client was provided a detailed learning Path outlining their to-be role and responsibilities within S/4. Including their personal training plan to fully prepare them for the new system. Plotting, and communicating each user’s learning journey (learning path) ensured both user readiness. Done to be sure they understood their role in the shared success and benefits S/4 would bring both to their employer and how they could excel in their role.

On-the-Ground Needs

To better understand the on-the-ground needs and scenarios, and well before training commenced iTrain conducted multiple site visits. These face-to-face interactions were crucial for tailoring the training to the specific day-to-day activities of the end-users. Having a clear appreciation of each role, and the user communities key concerns in their journey to S/4. This approach undoubtedly minimized both disruption and increased user positivity when the system went live.

Project Progression

As the project progressed, iTrain continuously refined and updated training assets to reflect any changes in the system or business processes. This stage was critical to ensure the accuracy and relevance of the training material at go-live.

Training delivery was scheduled to occur in the month leading up to the system go-live, with in-person and online formats available. Instructor led sessions were supported by a full suite of SuccessFactors deployed elearning. As well as training briefings and programme of podcast styled briefings for each role and course. In a large organisation there will be a range of training need. iTrain’s flexible approach ensured that diverse range of learning preferences and logistical challenges were identified and accommodated.

Post Go-Live

Following system go-live, iTrain provided essential support to ease the transition to business as usual. This post-go-live support helped to address any immediate issues. It is important to also ensured that the retailer could effectively use the new system from day one.

A full suite of training assets, developed for the programme are available for on going learning and development. This ensures skill levels are maintained, and new joiners can be brought up to speed quickly and effectively.
